Internal Events Coordinator
Clay is an in-person first company with three global offices in San Francisco, New York, and London. We believe creative magic happens when we collaborate face-to-face. Our offices are central hubs for communication, connection, and collaboration—destinations where customers, Claymates, and community come together. We're passionate about creating an awesome environment for our Claymates to thrive—our Workplace Experience team plays a massive role here through real estate, office and facilities management, and of course, events!
Clay is already a cool place to work, but we're building out the Workplace Experience team to push the bar even further and create something truly special that you are scaling across the globe as we expand.
We're looking for an Internal Events Coordinator who will plan, design, and execute memorable experiences for our team across all three offices. From weekly team celebrations, happy hours, to large-scale company retreats, you'll bring creativity, attention to detail, and operational excellence to every event. You'll work closely with leadership, cross-functional teams, and vendors to create moments that strengthen our culture and bring Claymates together.
What You'll Do
Event Strategy & Planning: Design and execute a comprehensive internal events calendar, including weekly office activations, monthly all-hands celebrations, quarterly offsites, and our annual company retreat.
Creative Programming: Develop engaging event concepts that align with Clay's culture and values, from team-building activities to talent shows, wellness programming, and celebration moments.
Cross-Functional Partnership: Collaborate with leadership, department heads, and the Workplace Experience team to understand event needs and ensure seamless execution.
Vendor Management: Source, negotiate with, and manage relationships with venues, caterers, entertainment, transportation providers, and other event vendors across multiple cities.
Large-Scale Event Management: Lead planning and logistics for company-wide events with 200+ attendees, including multi-day retreats with complex travel, accommodation, and programming needs.
Budget Ownership: Manage event budgets, track expenses, identify cost-saving opportunities, and deliver exceptional experiences within financial parameters.
Logistics Mastery: Own all operational details including registration, dietary accommodations, AV needs, transportation, swag, signage, run-of-show documents, and day-of coordination.
Office Collaboration: Partner with office coordinators in SF, NYC, and London to bring consistent, high-quality events to each location while respecting local culture and preferences.
Post-Event Analysis: Gather feedback, measure success, and continuously improve the events experience for Claymates.
What You'll Bring
3+ years of corporate event planning experience, with demonstrated success managing large-scale events, small events, offsites, and more
Project management excellence: Exceptional organizational skills, ability to manage multiple concurrent events, strong attention to detail, and calm under pressure.
Creative vision: Natural ability to conceptualize unique, memorable experiences that go beyond standard corporate events.
Budget management: Proven experience managing event budgets from $10K to $500K+, with strong negotiation skills and cost-consciousness.
Vendor relationship management: Experience sourcing, contracting, and managing external vendors and venues across multiple markets.
Cross-functional collaboration: Ability to work effectively with stakeholders at all levels, gather requirements, manage expectations, and build strong partnerships.
Communication skills: Clear, professional, and proactive communicator in writing and verbally, with strong presentation skills — comms
Problem-solving mindset: Quick thinker who can adapt on the fly, troubleshoot issues in real-time, and find creative solutions to unexpected challenges.
Tech-savvy: Proficient with event management platforms, project management tools, and comfortable learning new systems.
